Procedures and Policies

General Procedure
  1. You as a patron submits a copy request from Harvard Library HOLLIS Special Request.
  2. The library who owns the material reviews your requested services and permission.
  3. If there is a permission issue, the owning library will contact you. [STOP]
  4. If the owning library can provide the requested services (for example: small number of reference copies, retrieving existing digital files), they will do so. [STOP]
  5. The owning library or Imaging Services issues a quote to you.
  6. The patron pays for requested services at the estimated rate. You may pay online via credit card via your Hollis Special Request account.
  7. The request moves into the Imaging Services’ work queue.
  8. The owning repository or Imaging Services sends you a notification when the request is completed.
Payment Methods

Imaging Services accepts payment by the following methods:

  • Credit Card—Visa or Mastercard only. Log in to your HOLLIS Special Request account, choose “Orders Awaiting Payment” from the “Request History” menu, check the box(es) beside the item(s) you wish to pay for, and click, “Pay Online.”
  • Personal Check or Money Order—Drawn on a U.S. Bank and sent to our office (address below).
  • Wire Transfer—Please contact us for bank details.
  • Payment for internal Harvard orders may be made by 33-digit Chart of Account codes. Please contact our office for more information.

Turnaround Time

Standard turnaround time is 12-15 business days (unless otherwise indicated), beginning after payment and a library’s delivery of source materials to Imaging Services. We do offer 5-Business-Day, 2-Business-Day, and 24-Hour rush services for an extra fee (see Price List section).

For large orders (11 items or more) please call for an estimated delivery schedule.
For full reel and full-sheet scanning of microfilm and microfiche, standard turnaround is 4 to 6 weeks.

Cancellation, Correcting Errors and Refunds

Cancellation
The cost estimates issued in response to reproduction requests are good-faith estimates, but there are cases when prices change with new information. If you wish to cancel your order, you can do so online through the HOLLIS Special Request system, or you may email or phone us, and we will cancel the order for you.

Correcting Errors
In cases where Imaging Services fails to provide services specified in the order, Imaging Services will re-fill the order at no additional charge, provided that Imaging Services is notified within 90 days of having delivered the order. Correcting these errors requires a review of the originally delivered items, and the patron will be required to return these to Imaging Services before re-filling the order. Any rush charges assessed on the original will be fully refunded.

Refunds
When payment has been made by credit card, the refund will be made to that card account. When payment is made by check or money order, the refund will be issued as a check. In such cases, the recipient may be asked to provide additional information required for payment processing.

  • Full Refunds: In the rare cases where payment for services has been accepted, and Imaging Services is incapable of providing some or all the requested services, Imaging Services will refund the full value of any unfulfilled service item.
  • Partial Refunds: Orders may not be canceled after order processing has begun, but the patron may request a partial refund for any items that have not yet been worked on. A $15 minimum cancellation fee will be applied to all canceled orders.
Digital Reproductions and Access

As it is a primary objective of the Library to make its resources available as widely as possible, and it is in everyone’s interest to reduce the repeated handling of rare and fragile originals, library materials digitized upon request will subsequently be made freely accessible online, unless prohibited by law or license. Patron requests help build a digital corpus available to researchers around the world.

Existing Digital Files

Reference copies of digital reproductions can often be downloaded by patrons, free of charge, directly from Harvard’s online viewer.
Higher resolution files sometimes also exist, but these must be downloaded by Library staff.

The charge for this service is:
$20 for the first 1-10 images, and after that, each additional image is $2.00.
A $10.00 fee will be charged for delivery via a third-party file-transfer service.

Ordering a Dissertation

Theses, dissertations, and prize papers written by Harvard students do not circulate, but we can often deliver them in PDF format. Orders for these materials must be made through the same online order management system as all other orders.

For general information about these works, to set up a reading room visit, or for quick reference scans of only a few pages, please contact the Harvard University Archives directly.

The cost to digitize any Harvard thesis, dissertation, or prize paper is $135.00, which includes delivery of the finished PDF through a file-transfer service.

When digital masters already exist, we charge for retrieval and delivery only, and the total cost is $30.00.

The turnaround for either service is 15 working days from the date of payment.

Items are delivered in different ways, depending on certain factors. Many can be sent via a file-transfer service ($10 for up to 15 images), and for large orders, we offer thumb drives ($25) and hard drives ($125) as delivery options. Shipping costs for prints and/or media is below.

FAQ

What is ILL, and how does it differ from Imaging Services?

The Interlibrary Loan (ILL) service allows patrons of one library to borrow materials from another library. When loan is not possible, sometimes photocopies can be made. Books and journal articles are the most commonly ordered items, but some libraries also lend maps, audio and video recordings, sheet music, and microforms of all kinds. ILL is the preferred method for this type of document delivery.

Imaging Services provides very high quality reproduction services for scholars, researchers, and publishers. Imaging Services is the preferred method for images needed for publication.

There are also some rare, fragile, or otherwise restricted materials that cannot be delivered through ILL. Imaging Services may be able to provide digital copies of these items. Please contact us if you have any questions about which service would be more appropriate for your needs.
